Custom Agreement Report

The Custom Agreement Report is a highly customisable Report that puts your Agreement information front and centre. You can use this Report to get a high level overview of your Agreement data without having to click into each Agreement to view it. This Report shows you both your Active and Inactive Agreements.


How to access the Custom Agreement Report 

To access the Custom Agreement Report:

  1. Navigate to the Reports page.

  1. Under Agreements & Events, click “Custom Agreement Report”.

The default setup of this Report shows you a snapshot of your portfolio data at present date, including the Landlord, Tenant, Annual Total Rent and Created Date for each Agreement. If you want to see more information about your Agreements, or the same information organised in a different way, you can customise your report using the instructions below.

 

Customising your Report

There are a variety of ways you can customise your report to meet your needs. We've outlined a few of the handy tools you can use, as well as some of our top tips for each.

  1. Using the Filtering tool, you can customise your report to only show the Agreements which meet the Filters you've applied.

Tip: You can add as many filters as you would like on your Custom Agreement Report. Common uses are to add a filter for Active Agreements, using the “Agreement Status” column, or for lease-type Agreements, using the “Agreement Type” column.

 
  1.  You can customise the Columns that appear on your Report by clicking the '+' or 'x' icons beside the column label you want to add or remove.

Tip: The grey column buttons are the standard Agreement data fields. The yellow column buttons are for Custom Agreement Data Fields, optional fields you can set up for your Organisation.   1. You can rearrange the order that your columns appear on your Report by clicking on the headers and dragging and dropping them into a different arrangement.

  1. You can use the grouping tool to change the layout of your Report, to display the results sorted by the column selected.

Tip: If you want to separate your report by different Agreement types, add the “Agreement Type” column to your report, then drag and drop that column into the grouping field.

 
  1. The Calculations tool allows you to apply a simple calculation to your Report, such as the total of Annual Total Rent or the average of Monthly Total Rent.


Exporting and Saving your Report

Exporting

When you're happy with your report configuration, you can export it:

  1. Click “Export/Save”.

  1. Select the file type you would like to export your report as (PDF, Excel format, or CSV).

The report will then save to your default download location on your device.

Saving a Template

You can also save a template of your report, so that you can run the report using the same layout and filters in the future, without needing to recreate the report from scratch.

To Save a template of your Report:

  1. Click “Export/Save”.

  1. Click "Save to Reports".
  2. Give your report template a unique name, and optionally, a description. This means you will be able to identify your version of the report, as users are able to see other templates saved by other users.
  3. Click “Save”.


You can find your Saved Reports in the Reports tab, by scrolling to the “Saved Organisation Reports” section. Saved Reports are available to all users in your Organisation, meaning that you can run report templates created by your team members. 

Custom Agreement Reports saved in an Organisation are unique to the Organisation you created them in. If you have access to more than one Organisation and would like this report template to be available across them all, you'll need to recreate the Custom Agreement Report template in each Organisation.
