In OneLease, you can schedule reports in advance, reducing the need for manual monthly, quarterly, or fiscal reporting. This article will walk you through how to do so.
Please note: Currently, we can only schedule reports that have been saved as a Preset. This means that if you want to schedule one of our default IFRS 16 reports, you will need to create a Preset for it before following the steps outlined below. To learn how to create a Preset, please see this article.
Where to find Report Scheduling
- Navigate to the Reporting tab in OneLease.

- In the top right corner, click the report scheduling button.

- This will open the report scheduling window, where you are able to either create a new report schedule or select an already created one.

How to create a one-off Report Schedule
- Within the report schedule window, select “Create Report Schedule”, and a pop-up will appear.

- Under “Is this a repeating schedule”, select “No”.
- Select the Schedule Date, and the Time that you would like it to appear in your inbox.
Please note: If you have selected “Now” as the time, please be aware that the report will appear in your inbox once it has been generated. There will be a warning that explains this.
Also: If you select a Schedule Date prior to today, an error message will appear and you will be unable to save the report schedule.
- Give your report schedule a name. This should be something that is easily identifiable to you as everyone within your Organisation will have access to it. You also have the option to add a description in the box provided.

- Use the Recipients dropdown to select who you would like to receive the report at the scheduled time. Here, you will see all users who have access to the Organisation.

- Select whether you would like the report to be a CSV file or Excel document.

- Choose the desired Preset using the dropdown provided. You will see all report Presets saved in the Organisation available here.
- Lastly, give your scheduled report a file name, and click “Create Report Schedule”. We recommend including your Organisation's name in the file name so you can easily distinguish between saved scheduled reports, especially if you have access to multiple organisations. Please be aware that the reporting period set up in the report preset will be appended to the filename.

Please note: As the nature of this schedule is non-recurring, you will not see it saved in your report schedules window after the report has been generated and the scheduled time has passed. Any report schedule that has finished sending reports will no longer be displayed.
How to create a repeating Report Schedule
- Within the report schedule window, select “Create Report Schedule”, and a pop-up will appear.
- Under “Is this a repeating schedule”, select “Yes”.

- Select the Schedule Start Date, and the Time that you would like each report to appear in your inbox.

Please note: If you select a Schedule Date before today, an error message will appear and you will be unable to save the report schedule.
- Under “Repeat Every”, use the drop down to select whether you want to schedule the report on a weekly or monthly basis. Then, type how often you wish to run the report. For example, if you wish to run the report every fortnight, enter “2” and select “Weeks” as the period. Alternatively, for example, if you wish to run the report every 3 months, enter “3” and select “Months” as the period.

- Subsequently, the selected option for “Repeat Every” will prompt further questions.
- If you select “Weekly”, a dropdown titled “On These Days” will appear, and you can select which day/s you wish to receive the report.
- If you select “Monthly”, you will be able to select when you would like the scheduled report to repeat on. The options available will differ depending on your scheduled start date.

- You then have the option to select whether the schedule will either never end, end on a specific date, or end after a specific amount of occurrences.
- If you select “Specific Date”, you can enter a date in the space provided.
- If you have selected “After Occurrences”, enter in how many times you wish to receive the report. If you leave the number as “1”, an error will display that stops you from scheduling the report. In this instance, you would create a one-off schedule.

The Report Schedule List
Once you have successfully scheduled your report, it will appear in the report schedule window, along with any other scheduled reports. It will show the schedule name, description, timing, and preset.

If you click on the arrow, it will show more detailed information about the scheduled report.

Delete a Report Schedule
Please note: When a Preset is deleted from the Preset list, any scheduled reports associated to the deleted Preset will be removed from the schedule list.
To delete a report schedule:
- Expand the schedule details.
- Click “Delete”.
- A pop-up will appear explaining the implications of deleting a schedule. If you are happy to proceed, click “Delete Report Schedule”.

Your schedule is now deleted.
What to expect in your inbox
Once your scheduled report has run, all users that have been selected as a recipient will receive an email containing a link to download the report.

Clicking the link will automatically start downloading the scheduled report. The link will be valid for 7 days.
If your email states that the report schedule could not be generated, please reach out to our Support Team for assistance (support@nomosone.com).
Please note: The email will not include the name of your Organisation. If you have multiple Organisations with scheduled reports, we recommend you include the Organisation name in the Schedule name and file name.
Frequently Asked Questions
Q: What if a User is removed from my Organisation?
If the removed user is one of multiple recipients, then the user is automatically removed from receiving the scheduled report. They will no longer receive scheduled report emails.
If the removed user is the only recipient on a scheduled report, the report schedule will remain visible in your report schedule window, however the recipient list will be empty. There is a warning message that will display in the schedule details, highlighting that there are no recipients. The removed user will no longer receive scheduled report emails.
Q: Why am I not receiving emails if I am added as a recipient to a report schedule?
Only active User's within the Organisation will receive emails when added to a report schedule. If a newly added user has not logged in to Nomos One before, they will not receive scheduled report emails, even if they have been added as a recipient.
Q: Am I able to edit a report schedule?
No, to edit a report schedule you will need to create a new one.
